Terms & Conditions
of Accommodation

Kyoto

(Purpose) Article 1

The purpose of these Terms is to set out the provision by the facility of care and related services to mothers who, as a rule, hold a Maternal and Child Health Handbook and are within four months of giving birth ("the Guest"), together with their infants, and the payment by the Guest of the charges for those services.

(Scope) Article 2

  1. The terms of use concluded between the facility and the Guest are governed by these Terms; matters not provided for here are governed by law or generally established custom.
  2. Where the facility agrees to a special arrangement not contrary to law or custom, that arrangement prevails notwithstanding the preceding paragraph.

(Compliance with the rules) Article 3

Guests shall observe the house rules and other rules of use laid down by the facility.

(Confirmation of booking) Article 4

  1. A booking is confirmed when the facility accepts a provisional booking application, confirms receipt of the first payment under Article 5(1), receives notification of the birth within two days of delivery, and both parties agree.
  2. Where the Guest has already given birth at the time of the provisional booking, the application is made after reading and accepting the explanation in the brochure. The booking is then confirmed when the facility accepts it, confirms receipt of the first payment under Article 5(1), and both parties agree.

(Payment) Article 5

The charges payable by the Guest are those set out in the separate schedule. The applicant shall pay them to the facility as follows.

Deposit
No deposit is taken when you apply, but credit card details are required to confirm the booking. Your reservation is complete once you receive our confirmation email.

Payment for your stay
We send payment instructions 20 days beforehand. The full amount is payable by bank transfer no later than 14 days before arrival. Where you book within 20 days of your stay, payment is requested at the same time as the confirmation email.

Additional charges on site
Purchases and optional services totalling ¥20,000 or less may be paid by credit card; above ¥20,000, please pay in cash or by bank transfer.

(Refusal to conclude a contract) Article 6

  1. The facility will not conclude a contract in the following cases.
    (1) Where the prospective Guest or infant has a fever, cold symptoms or other symptoms suggesting an infectious disease, or has had such symptoms within two weeks before check-in.
    (2) Where the prospective Guest or infant has travelled abroad within two weeks before check-in, or has been in contact with someone who has.
    (3) Where the prospective Guest is a member of an organised crime group, of an affiliated organisation, or is otherwise connected with anti-social forces.
  2. The facility may decline to conclude a contract in the following cases:
    (1) where the application does not comply with these Terms;
    (2) where the facility is fully booked;
    (3) where the prospective Guest is considered likely to act contrary to law, public order or good morals;
    (4) where the prospective Guest is considered likely to cause serious annoyance to other guests;
    (5) where the prospective Guest has made unreasonable demands of the facility or its staff, or has requested a burden beyond what is reasonable;
    (6) where use of the facility is impossible owing to natural disaster, breakdown of facilities or other unavoidable cause;
    (7) where the prospective Guest does not observe these Terms, the house rules or instructions, and the facility judges continued use to be inappropriate.
  3. Where the prospective Guest has an illness or medical condition, the facility permits use only with a doctor's approval.

(Right of termination) Article 7

  1. The facility may terminate the contract in the following cases.
    (1) Where the Guest is considered likely to act, or does act, contrary to law, public order or good morals.
    (2) Where the Guest is considered likely to cause, or does cause, serious annoyance to other guests.
    (3) Where use is impossible owing to natural disaster, breakdown of facilities or other unavoidable cause.
    (4) Where the Guest makes unreasonable demands of the facility or its staff, or requests a burden beyond what is reasonable.
    (5) Where the Guest does not observe these Terms, the house rules or instructions, and the facility judges continued use to be inappropriate.
    (6) Where the Guest drinks alcohol or smokes on the premises.
    (7) Where the Guest distributes or displays advertising material or solicits sales on the premises.
    (8) Where the Guest refuses the daily health check.
    (9) Where the Guest otherwise fails to follow staff instructions or does anything the facility prohibits.
  2. The facility will terminate the contract where:
    (1) after conclusion, the Guest or infant has a fever, cold symptoms or other symptoms suggesting an infectious disease;
    (2) after conclusion, the Guest is found to be connected with an organised crime group or other anti-social forces;
    (3) the Guest enters, without permission, any room other than their own (including vacant rooms).
  3. Where the facility terminates the contract under paragraph 1 or 2 and the Guest leaves promptly, no charge is made for the period from the day after termination or for services not yet received.
  4. On such termination the Guest shall leave promptly. Where the Guest does not do so, or behaves in a way that interferes with the running of the facility, the facility may charge for the period from the day after termination. Where the facility judges that it cannot deal with the matter itself, it will contact the police or the appropriate authority.

(Registration on arrival) Article 8

  1. You must present your Maternal and Child Health Handbook (or a copy) when your stay begins.
  2. The facility will explain the points to note in using the facility.

(Hours) Article 9

  1. Check-in on the first day is between 14:00 and 18:00; check-out on the final day is at 11:00. (From January 2025.)
  2. The hours during which Guests may use the facility's amenities are as determined by the facility.
  3. For safety, inspections and repairs — including of guest rooms — may be carried out, and some facilities or parts of rooms may be unavailable.

(Damages) Article 10

  1. The facility accepts no responsibility for accidents or injuries on the premises.
  2. The facility accepts no responsibility for damage to or theft of Guests' belongings.
  3. Where furnishings, fittings or interiors are damaged other than by force majeure, the Guest shall promptly repair or replace them, or bear the cost of repair and any damages.
  4. Where a room card key is lost or damaged, the Guest shall pay ¥2,000 (excluding tax).

(Meals) Article 11

  1. Meals are taken at the times and in the places determined by the facility. For food-hygiene reasons we may decline to serve meals after those times.
  2. We do not provide replacement meals or refunds for meals not eaten.
  3. As to omitting ingredients, we can discuss the removal of single items only, for allergies to egg, milk, wheat, buckwheat, peanut and crustaceans (prawn and crab). Requests must be made when you notify us of the birth.
  4. We cannot accommodate omissions based on preference or changes to the menu.
  5. Food and drink you bring in remain your own responsibility, and we may decline certain items at our discretion.

(Medication) Article 12

  1. Where medication is needed during your stay, it remains your own responsibility, and we may decline certain items at our discretion.
  2. The facility does not take charge of or manage medicines.
  3. The facility does not supply medicines.

(Going out) Article 13

  1. The facility accepts no responsibility for accidents or injuries while you are out.
  2. Where anyone other than the infant goes out, or where the whole party goes out, this is limited to those who have submitted an outing request; please complete the form.
  3. The facility may decline permission to go out.
  4. Please always inform staff on your return.

(Visitors) Article 14

  1. Visiting hours are normally 9:00 to 18:00.
  2. Visitors must be relatives of the Guest within the third degree of kinship, and must read, accept and sign the facility's visitor consent form.
  3. Persons falling under Article 7(1) and persons who have been drinking may not enter.
  4. Visiting may be restricted during an outbreak of infectious disease.

(Family Stay) Article 15

  1. For a Family Stay, please book the dates and number of people when the contract is concluded. If this is not yet settled, please tell us at least two days before your stay.
  2. Where family members check in separately from mother and baby, please arrive between 14:00 and 20:00.
  3. The facility will explain the points to note in using the facility.
  4. Guests complete the facility's registration and consent form with:
    (1) name, date of birth, address and telephone number;
    (2) an emergency contact;
    (3) any other matters the facility determines should be recorded (allergies and so on).
  5. Entry to the nursing room and Baby Room is not permitted.
  6. Where conduct is judged to interfere with the running of the facility, we may require the person to leave; where we cannot deal with the matter ourselves, we will contact the police or the appropriate authority.
  7. We do not care for the infant's siblings in the Baby Room, nor do our staff provide childcare for them.
  8. Meals during the stay are taken in the designated area of the lounge.
  9. Visiting may be restricted during an outbreak of infectious disease.

(Change of room) Article 16

  1. For operational reasons the facility may provide a room other than the one agreed.
  2. You may be asked to move to another room during your stay.
  3. Where a different room is provided, any difference in price is refunded.

(Items brought in and left behind) Article 17

  1. Please do not bring the following into the facility:
    (1) dogs, cats, birds, other pets and insects;
    (2) anything giving off a foul or unusual odour;
    (3) anything liable to ignite or catch fire, such as gunpowder or volatile oils;
    (4) large sums of cash and valuables;
    (5) alcoholic drinks;
    (6) anything else prohibited by law.
  2. We do not take charge of Guests' belongings. Please use the safe in your room for valuables, and keep other items in your room at your own responsibility.
  3. Items left in the room are kept for seven days including the day they are found, after which they are handed to the nearest police station or disposed of. Food and drink are disposed of the same day.

(Fixtures and fittings) Article 18

Guests shall observe the following:
(1) do not use room fixtures or fittings for other purposes, or remove them;
(2) do not attach anything to the premises or alter them in any way;
(3) do not move items from their designated places;
(4) do not place anything in the windows that spoils the building's appearance;
(5) return borrowed items in accordance with the rules for each.

(Handling of personal information) Article 19

  1. The facility and its staff will not disclose to third parties, without proper reason, personal information about Guests and their families obtained in the course of business. With the Guest's consent, information may be provided to:
    (1) health and welfare bodies in the Guest's area of residence;
    (2) medical institutions;
    (3) government bodies.
  2. The preceding paragraph continues to apply after the contract ends.
  3. Where the facility considers it necessary, it may contact your emergency contact.

(Disaster prevention) Article 20

  1. Open flames are not permitted, and smoking is prohibited throughout.
  2. Please do not touch fire-fighting equipment except in an emergency.
  3. We regularly conduct security and disaster drills, fire inspections, disinfection and an annual inspection of the whole building.

(In an emergency) Article 21

  1. In an emergency we may refer you to a medical or other specialist institution, or call the emergency services.
  2. An evacuation plan is posted on the back of each room door. Please follow staff instructions in an emergency.

(Protection of personal information) Article 22

  1. The facility has adopted the following privacy policy:
    (1) personal information is generated, collected, used and provided appropriately;
    (2) unauthorised access, loss, destruction, alteration and leakage are prevented;
    (3) laws and other norms concerning personal information are observed;
    (4) internal rules on data protection are maintained and continuously improved.
  2. Personal information provided is handled only for the following purposes:
    (1) identity verification, notice of suspension, discontinuation or termination of services, and the provision of our services generally;
    (2) sales recommendations, surveys and the sending of gifts relating to our services, by telephone, email, LINE, post and other media;
    (3) improving or developing services at the facility and affiliated hotels, and with contractors or partners;
    (4) providing insurance and related services.
  3. Where a court, the police or another public body requests disclosure under law, we may provide the information to that body.
  4. The facility may revise this policy.

(Amendment) Article 23

These Terms and the attached documents may be amended without notice, in which case the amended Terms apply.
