(Purpose) Article 1
The purpose of these Terms is to set out the provision by the facility of care and related services to mothers who, as a rule, hold a Maternal and Child Health Handbook and are within four months of giving birth ("the Guest"), together with their infants, and the payment by the Guest of the charges for those services.
(Scope) Article 2
- The terms of use concluded between the facility and the Guest are governed by these Terms; matters not provided for here are governed by law or generally established custom.
- Where the facility agrees to a special arrangement not contrary to law or custom, that arrangement prevails notwithstanding the preceding paragraph.
(Compliance with the rules) Article 3
Guests shall observe the house rules and other rules of use laid down by the facility.
(Confirmation of booking) Article 4
- A booking is confirmed when the facility accepts a provisional booking application from a prospective guest, confirms the registration of credit card details under Article 5(1), receives notification of the birth within two days of delivery, and both parties agree.
- Where the Guest has already given birth at the time of the provisional booking, the application is made after reading and accepting the explanation in the brochure. The booking is then confirmed when the facility accepts the application, confirms the registration of credit card details under Article 5(1), and both parties agree.
(Payment) Article 5
- The charges payable by the Guest are those set out in the separate schedule. To confirm a booking, the Guest shall register credit card details by the method the facility prescribes. That card is used solely to settle any cancellation fee arising under the terms the facility separately provides, and is not used to settle the accommodation charge or extension charges.

The accommodation charge is payable by bank transfer or in cash.
(1) Where payment is by bank transfer, the Guest shall pay the full amount no later than 14 days before the arrival date; where fewer than 14 days remain at the time the booking is confirmed, within 24 hours of confirmation.
(2) Where payment is in cash, the Guest shall so state when applying for the provisional booking, and shall pay the full amount at the start of check-in.
(3) The facility sends payment instructions when the booking is confirmed, invoicing the accommodation charge alone first, irrespective of any optional services applied for. - Charges for extending a stay are payable by bank transfer or in cash. The facility notifies the amount and the payment deadline once the extension is confirmed. The Guest shall pay by the deadline the facility specifies where payment is by bank transfer, or at the final check-out where payment is in cash, and in either case shall complete payment before leaving the premises.
- Charges for optional services are not included in the accommodation charge. The facility invoices only those services actually provided, and makes no charge where a date could not be arranged or the Guest cancels. Such charges are settled together at check-out, by cash, PayPay or credit card.
- The facility does not invoice after the Guest has left the premises, except where a charge has been missed owing to a communications failure or other unavoidable cause.
- Refunds are made, as a rule, by the same method as the original payment: sums received by bank transfer are refunded by bank transfer; sums received in cash are refunded in cash; and sums received via PayPay or credit card are refunded against the original transaction.
- In addition to the foregoing, the facility accepts payment in Saitama's digital local currency "Sai Coin". The payments to which this applies are as the facility separately provides.
(Refusal to conclude a contract) Article 6

The facility will not conclude a contract where:
(1) the prospective Guest or infant has a fever, cold symptoms or other symptoms suggesting an infectious disease, or has had such symptoms within two weeks before check-in;
(2) the prospective Guest or infant has travelled abroad within two weeks before check-in, or has been in contact with someone who has;
(3) the prospective Guest is a member of an organised crime group, of an affiliated organisation, or is otherwise connected with anti-social forces. -
The facility may decline to conclude a contract where:
(1) the application does not comply with these Terms;
(2) the facility is fully booked;
(3) the prospective Guest is considered likely to act contrary to law, public order or good morals;
(4) the prospective Guest is considered likely to cause serious annoyance to other guests;
(5) the prospective Guest has made unreasonable demands of the facility or Budou no Ki staff, or has requested a burden beyond what is reasonable;
(6) use is impossible owing to natural disaster, breakdown of facilities or other unavoidable cause;
(7) the prospective Guest does not observe these Terms, the house rules or instructions, and the facility judges continued use to be inappropriate;
(8) the person seeking to stay is clearly unable to pay;
(9) any other case provided for by prefectural ordinance applies. - Where the prospective Guest has an illness or medical condition, the facility permits use only with a doctor's approval.
(Right of termination) Article 7

The facility may terminate the contract where:
(1) the Guest is considered likely to act, or does act, contrary to law, public order or good morals;
(2) the Guest is considered likely to cause, or does cause, serious annoyance to other guests;
(3) use is impossible owing to natural disaster, breakdown of facilities or other unavoidable cause;
(4) the Guest makes unreasonable demands of the facility or Budou no Ki staff, or requests a burden beyond what is reasonable;
(5) the Guest does not observe these Terms, the house rules or instructions, and the facility judges continued use to be inappropriate;
(6) the Guest drinks alcohol or smokes on the premises;
(7) the Guest smokes in bed, tampers with fire-fighting equipment, or fails to observe the hotel's rules on fire prevention;
(8) the Guest distributes or displays advertising material or solicits sales on the premises;
(9) the Guest refuses the daily health check;
(10) the Guest otherwise fails to follow Budou no Ki staff instructions or does anything the facility prohibits. -
The facility will terminate the contract where:
(1) after conclusion, the Guest or infant has a fever, cold symptoms or other symptoms suggesting an infectious disease;
(2) after conclusion, the Guest is found to be connected with an organised crime group or other anti-social forces;
(3) the Guest enters, without permission, any room other than their own (including vacant rooms). - Where the facility terminates under paragraph 1 or 2 and the Guest leaves promptly, no charge is made for the period from the day after termination or for services not yet received.
- On such termination the Guest shall leave promptly. Where the Guest does not do so, or behaves in a way that interferes with the running of the facility, the facility may charge for the period from the day after termination. Where the facility judges that it cannot deal with the matter itself, it will contact the police or the appropriate authority.
(Registration on arrival) Article 8
On the day of arrival, Guests register:
(1) name, age, sex, address and occupation;
(2) for foreign nationals, nationality, passport number, place of entry and date of entry;
(3) date and scheduled time of departure;
(4) any other matters the facility considers necessary. You must also present your Maternal and Child Health Handbook (or a copy) when your stay begins. The facility will explain the points to note in using the facility.
(Hours) Article 9
- Check-in on the first day is between 14:00 and 18:00; check-out on the final day is at 11:00.
- The hours during which Guests may use the facility's amenities are as determined by the facility.
- For safety, inspections and repairs — including of guest rooms — may be carried out, and some facilities or parts of rooms may be unavailable.
(Damages) Article 10
- The facility accepts no responsibility for accidents or injuries on the premises.
- The facility accepts no responsibility for damage to or theft of Guests' belongings.
- Where furnishings, fittings or interiors are damaged other than by force majeure, the Guest shall promptly repair or replace them, or bear the cost of repair and any damages.
- Where a room card key is lost or damaged, the Guest shall pay ¥1,000 (including tax).
(Meals) Article 11
- Meals are taken within the times set by the facility, either in the place the facility designates or in your room. For food-hygiene reasons we may decline to serve meals after those times.
- We do not provide replacement meals or refunds for meals not eaten.
- Guests with food allergies are asked to tell us in advance.
- We cannot accommodate omissions based on preference or changes to the menu.
- Food and drink you bring in remain your own responsibility, and we may decline certain items at our discretion.
(Medication) Article 12
- Where medication is needed during your stay, it remains your own responsibility, and we may decline certain items at our discretion.
- The facility does not take charge of or manage medicines.
- The facility does not supply medicines.
(The facility's liability) Article 13
- Where the facility causes a guest loss in performing, or failing to perform, the accommodation contract or a related contract, it will compensate that loss. This does not apply where the loss is not attributable to the facility.
- The facility carries lodging liability insurance against fire and similar events.
(Going out) Article 14
- The facility accepts no responsibility for accidents or injuries while you are out.
- Where anyone other than the infant goes out, or where the whole party goes out, this is limited to those who have submitted an outing request; please complete the form.
- The facility may decline permission to go out.
- Please always inform Budou no Ki staff on your return.
- You may come and go 24 hours a day. For security, the Nakasendo-side entrance is closed at midnight; after that, please use the main entrance.
(Visitors) Article 15
- No particular limit is set on visiting hours, but for the sake of the mother's recovery and the infant's night-time feeds, please avoid late nights and early mornings and finish by around 20:00.
- Visitors must be relatives of the Guest within the third degree of kinship, and must read, accept and sign the facility's visitor consent form.
- Persons falling under Article 7(1) and persons who have been drinking may not enter.
- Visiting may be restricted during an outbreak of infectious disease.
(Family Stay) Article 16
- For a Family Stay, please book the dates and number of people when the contract is concluded; if this is not yet settled, tell us at least two days beforehand.
- Where family members check in separately from mother and baby, please arrive between 14:00 and 20:00.
- The facility will explain the points to note in using the facility.

Guests complete the facility's registration and consent form with:
(1) name, date of birth, address and telephone number;
(2) an emergency contact;
(3) any other matters the facility determines should be recorded (allergies and so on). - Entry to the nursing room and Baby Room is not permitted.
- Where conduct is judged to interfere with the running of the facility, we may require the person to leave; where we cannot deal with the matter ourselves, we will contact the police or the appropriate authority.
- We do not care for the infant's siblings in the Baby Room, nor do our staff provide childcare for them.
- Visiting may be restricted during an outbreak of infectious disease.
(Change of room) Article 17
- For operational reasons the facility may provide a room other than the one agreed.
- You may be asked to move to another room during your stay.
- Where a different room is provided, any difference in price is refunded.
(Deposited items) Article 18
- Where items, cash or valuables deposited at reception are lost or damaged, the facility will compensate the loss, except in cases of force majeure. As to cash and valuables, where the facility has asked the guest to declare their nature and value and the guest has not done so, liability is limited to ¥150,000.
- Where items, cash or valuables brought into the facility but not deposited at reception are lost or damaged through the facility's intent or negligence, the facility will compensate the loss. Where their nature and value were not declared in advance, liability is limited to ¥150,000, except in cases of intent or gross negligence.
(Items brought in and left behind) Article 19

Please do not bring the following into the facility:
(1) dogs, cats, birds, other pets and insects;
(2) anything giving off a foul or unusual odour;
(3) anything liable to ignite or catch fire, such as gunpowder or volatile oils;
(4) large sums of cash and valuables;
(5) anything else prohibited by law. - The facility does not take charge of Guests' belongings. Please use the safety box in your room for valuables, and keep other items in your room at your own responsibility.
- Where items are left in the room after check-out, they are kept for seven days including the day they are found, after which they are handed to the nearest police station or disposed of. Food and drink are disposed of the same day.
(Fixtures and fittings) Article 20
Guests shall observe the following:
(1) do not use room fixtures or fittings for other purposes, or remove them;
(2) do not attach anything to the premises or alter them in any way;
(3) do not move items from their designated places;
(4) do not place anything in the windows that spoils the building's appearance;
(5) return borrowed items in accordance with the rules for each.
(Parking) Article 21
- If you come by car, the car park beneath the Royal Pines Hotel Urawa (Saitama City municipal parking) is available. Conditions of use and charges are as set by that car park.
- The facility accepts no responsibility for damage to parked vehicles or to any other property. Please take particular care of your own valuables.
(Disclaimer) Article 22
Use of computer communications from within the facility is at the guest's own risk. The facility accepts no responsibility for any loss arising where the service is interrupted by system failure or any other cause. Where the facility or a third party suffers loss through conduct the facility judges inappropriate, the guest shall compensate that loss.
(Handling of personal information) Article 23

The facility and its staff will not disclose to third parties, without proper reason, personal information about Guests and their families obtained in the course of business. With the Guest's consent, information may be provided to:
(1) health and welfare bodies in the Guest's area of residence;
(2) medical institutions;
(3) government bodies. - The preceding paragraph continues to apply after the contract ends.
- Where the facility considers it necessary, it may contact your emergency contact.
(Disaster prevention) Article 24
- Open flames are not permitted. Smoking is prohibited throughout the facility except in the places the hotel designates.
- Please do not touch fire-fighting equipment except in an emergency.
- We regularly conduct security and disaster drills, fire inspections, disinfection and an annual inspection of the whole building.
(In an emergency) Article 25
- In an emergency we may refer you to a medical or other specialist institution, or call the emergency services.
- If your condition changes during your stay, we may recommend that you see your own doctor. Medical fees and travel costs are payable by you.
- An evacuation plan is posted on the back of each room door. Please follow the instructions of Budou no Ki staff in an emergency.
(Protection of personal information) Article 26

The facility has adopted the following privacy policy:
(1) personal information is generated, collected, used and provided appropriately;
(2) unauthorised access, loss, destruction, alteration and leakage are prevented;
(3) laws and other norms concerning personal information are observed;
(4) internal rules on data protection are maintained and continuously improved. -
Personal information provided is handled only for the following purposes:
(1) identity verification, notice of suspension, discontinuation or termination of services, and the provision of our services generally;
(2) sales recommendations, surveys and the sending of gifts relating to our services, by telephone, email, LINE, post and other media;
(3) improving or developing services at the facility and affiliated hotels, and with contractors or partners;
(4) providing insurance and related services. - Where a court, the police or another public body requests disclosure under law, we may provide the information to that body.
- The facility may revise this policy.
(Amendment) Article 27
These Terms and the attached documents may be amended without notice, in which case the amended Terms apply.
